What we deliberately do not sell

A carnival point-of-sale, 990 e-filing, ACH origination, background check processing, or a gift-card mall. Each one is somebody else’s product done properly, and we would rather point you at them than ship a worse version.

A good year should not cost you more.

Most of this market takes a percentage of what you collect. The subscription is what gets published; the percentage is what decides the bill.

Assumes all $40,000 is collected through the platform in a year, and leaves out the per-payment cents charges, which need a payment count to work out — so the two marked “+” are floors, not totals.

Being fair about it: BeeKeeper and Volo Cash take no cut either. And we are not free of payment fees so much as out of the way of them — PTO HQ never processes a payment, so you bring your own Square or Stripe account at their rate, keep whatever cash and checks you take at no cost at all, and can change processor without changing software. What you do not pay is a markup to us on top.

Where we lose: MoneyMinder’s $299 includes 990-N and 990-EZ e-filing, iOS and Android apps, and a bundled Cheddar Up Team subscription. PTO HQ has none of those. We will show you the figures your 990-EZ wants, line by line, and you still file it yourself. If what your board wants is somebody else pressing send on the return, MoneyMinder is the better buy and we would rather say so here than have you find out in March.

And if you are a PTA unit: several state offices give software away. Texas PTA units get myPTEZ free; Givebacks is free to units in Virginia, Florida, Alabama, New York, Massachusetts and Washington. Ask your state office before you pay anybody, including us.

What we are actually better at is the whole board rather than the treasurer alone, and the handoff every June — membership, directory, volunteers, meetings, the compliance clock, and an officer transition that is a state change rather than a negotiation.

List prices as published on each vendor’s own site and checked on 14 September 2026. Vendors change prices, and several charge platform or transaction fees on top of the subscription. Confirm the current number on each vendor’s site before you put it in a budget.
