For presidents

You are responsible for it, so you should be able to see it.

The president signs checks, runs the meetings, and carries the board's exposure — usually without any view into the books between treasurer reports. This gives you standing visibility without taking the treasurer's job away from her.

The job

What a president is actually on the hook for.

  1. See the money without doing the bookkeeping

Balances, the open reconciliation, what is waiting on an officer, and how each budget line is tracking — read it any evening, not just the night before a meeting.

  2. Be the second signature, properly

Approve reimbursements from your phone with the receipt right there. The record shows two officers and the order they acted in, which is exactly what a bonded group has to be able to prove.

  3. Hold the compliance calendar

Insurance renewal, the bylaws review clock, state affiliation and dues deadlines, the annual review, and the 990 — pre-filled from your fiscal year and your state, not an empty calendar you have to populate.

  4. Never have a single point of failure

Every account has more than one officer on it by design. When somebody moves away in March, nothing is stranded in her inbox.

  5. Run the meeting from the record

Agenda, minutes, and motions — with the budget adoption vote linked to the budget it authorized, so a year from now it is obvious what the membership actually approved.
